Food Van Rules & Regulations


Carnival Day is Sunday 13th March, 2022 and opens for business at 11.00am and closes at 5.00 pm.

Start time

All sites MUST be completed and ready for business by 9.30am Sunday – no exceptions.

Site access

Bump in including all deliveries is only from 7.00am to 8.00am for Food Stall Holders and 8.00am to 9.30am for all other vendors. 

Written confirmation and passes are required for access to your site. Bump out is only from 5.30pm – 7.00pm.


Parking will NOT be permitted next to your site except during bump in and bump out. Designated nearby stallholder parking will be available.


Fire extinguishers are required when a site has booked power. It is the Stallholders responsibility provide a fire extinguisher.  You are responsible for meeting requirements associated with CFA fire bans that may be in-place. 


You must keep your area clean and free of rubbish at all times and on departure. Rubbish bins are provided throughout the site.

Gate passes

Two stallholder gate passes are included to each approved stallholder. Additional passes may be purchased on the application form enclosed.


Stall Holder Food Van Participation Agreement

  1. a) ChillOut is dedicated to deliver a positive celebration of gay, lesbian, bisexual, transgender and queer pride within the unique setting of Hepburn Shire. All images and communications at Carnival Day should reflect this purpose – negative images will not be permitted.
  2. b) Stallholders should be supportive of the Purpose and Values of ChillOut and our ‘Play Safe Policy’.
  3. c) Ideally, the ongoing theme for ChillOut – Queer Country Pride – should be supported at your stall.
  4. d) Carnival Day is a family day out and welcomes children. This needs to be considered in the tone, images, services and products on offer from stallholders.
  5. e) The number of available Carnival Day stalls is limited due to available space. Because Carnival Day is a ticketed event for our guests, we are committed to delivering a good mix of appropriate stalls.
  6. f) Remember that Carnival Day is an outdoor event and will go ahead rain or shine.
